What are we mapping
  • On all Hospital systems, codes are used (or inferred) to designate Departments and Feeder Systems. e.g. Wards, Labs, Units.
  • No two hospitals are consistent in approach.
  • The same codes can be used for both a Ward, and a Unit (and a LAB!!)
  • Codes can have embedded spaces, funny squiggles or can even be non existent.

Why are we Mapping
  • Transition needs a consistent approach, while it does provide the facilities to map to intermediate products, it can become complex.

How do we map
  • We use a screen and a couple of reports.


  • The Screen, from the Mapping and Setup menu.
  • The Report also from that menu

Mapping Screen (2) - Fields
  • FEEDER:CODE, the Feeder System, a colon, and the Code, here we are looking at a WARD feeder, and the code used on HBCIS for ICU (can use “?” for lookup)
  • DESCRIPTION. Automatically generated codes may have a description, others should be entered.
  • FEEDER SYSTEM
  • STANDARD DEPT CODE QHPST standardised Code for this Dept
  • ASSOCIATED UNIT
  • WARD TYPE, for use in Ward type Days in XV extract
  • CAMPUS CODE, used to designate a campus for non Ward type Depts in XVOP extracts.

  • This screen adds a facility to accommodate ward re-locations, where the geographical name of the ward remains the same, but the Dept occupying it changes. e.g. One West, WARD:ONEWEST may through no fault of it’s own become another dept e.g. ICU while construction is undertaken elsewhere, and for administrative reasons like the ward Census and fireplan, patients may need to be designated as in ONEWEST. This screen allows the start and end date, Standard Dept code and Ward type to be changed for this time. Needs to be kept an Eye on as wards move around at high speed.
  • Of course if ICU moved to ONEWEST and stays as ICU on HBCIS, then no need to do anything.

Saving, Deleting, and exiting
  • All WEST.ENTRY screen follow similar basic conventions to HBCIS data entry screens.
      • F to File a record
      • END to Exit (also F1 key)
      • DELETE (typed in full) to Delete a record
  • In addition, WEST.ENTRY allows the use of the ESCape key instead of END, and double ESCape for quicker exits.
