Monthly Processing Checklist
  • There are two types of “usual” processing.
  • Monthly Full extracts, with both XVI and XV group extracts.
  • Weekly XV top up extracts
  • There are also ad hock extracts of either type.

File Preparation
  • Using your FTP client, copy all third party, EDIS and ORMIS files into the Talons directory on the ERSA  system. Use the appropriate login and password.
  • You may have a Share using Windows Explorer® or some other FTP server.

Start TALONS
  • Login to Talons system using your telnet terminal emulation
    • CSC’s Reallink,
    • SuperTCP vt320,
    • Microsoft Telnet or Hyperterminal,
  • Login first to the LOGIN PLEASE prompt then to the TALONS-zzz account. (some sites)

Pre-processing Third Party Data
  • Process AUSLAB, ORMIS and all other third party files using the correct menu options.
  • Watch what happens
  • Check Printouts in spooler


    • Problems occur here with file Case names

Check Mappings
  • A menu Option “New Wards, Units & Clinics” on the Mapping And Setup Menu will flag all new Ward, Unit and APP Clinic codes that require Mapping and assign them a dummy value.
  • Select the codes menu, then list dept codes, send output to your local CSC (HBCIS) printer. Check the output for new codes that map to XXAA01 dept codes,
  • fix mappings to QHPST standard values.
  • Codes not required to be mapped or for utilisation not required should be assigned a dummy ZZnnn code.

Purging old files
  • List Unix file directory from the Menu in TALONS, see what files are there, and what dates they have. Know where you are at.
  • If you are satisfied with last months extracts completely as far as processing has gone, you may run the purge files option to delete them and the Unix extract files as well.
  • This will not delete files from the AS400, please note.

Start Extracts (1)
  • Start background extracts, set XVI to run at appropriate time, XV should run after XVI has completed.
  • XVI sets a flag that must be released before XV will start. This ensures that Feeders creating data for XV fields (e.g. TMS, ORMIS, EDIS, EMG) complete before the data is required.

Start Extracts (2) – Check Mappings.
  • If you have Set a delayed start, some new Ward, Unit or Clinic mappings may show up at this point, fix them before the actual extract start time for a quick result. (See Check Mappings sheet)
  • When Extracts are Started (not at “time when scheduled to start” but  at time “when scheduled to start”, a process is run to check for new wards, units and clinics. A menu Option exists to do this as well.

Monitor The Extracts
  • Use the View Status Screen to watch what is happening, if you wish.
  • If the CSC (HBCIS) system is rebooted while they are pending or running, you may have to run the extracts again.

Check the results (1)
  • Use List UNIX files option again to check for the presence of the files you are hoping for. At least 6 files should exist.

Check the Results (2)
  • the .Z means that the file is compressed and also that the process completed all the way to the end.
  • A file that is not “.Z” is either empty, or the program “crashed” before completing.
  • Check the AS400, the files should also be there, same size, same Date and Time, (note times may vary, as GMT offset on machines may be different, or your view of file times may show actual GMT times!!!

Check Mappings AGAIN
  • Again, select the codes menu, then list dept codes, send output to your local CSC (HBCIS) printer.
  • Check the output for new codes that map to XXAA01 dept codes, if you have to fix mappings, do so, then run the recreate extract file option or re run from Start Extracts (1).
  • fix mappings to QHPST standard values

Check Volumes
  • The year to Date Summary and VIII menu option provides a quick overview of volumes for the periods run to date.
  • The VIII file may be used during T2 setup to ascertain volumes.
  • Missing columns of report data for a feeder mean something, missing data for one or more products may or may not.

Next stop, Transition
  • You now have to uncompress your files
  • Locate them correctly
  • Load them
  • Check the results.
